A key strength of the Budgets feature is how easily it adapts to your team structure.
Whether you’re assigning funds to a single employee or an entire department, the system allows you to configure access in a way that reflects real-world roles and responsibilities.
Who Can Use a Budget?
When creating or editing a budget, you define two types of access:
Budget Owner: The person responsible for managing the budget. They can view overall usage, adjust settings, and monitor spending behavior.
Budget Spenders: These are the users (individuals or teams) who will use the allocated funds, tagging their card transactions, reimbursements, or petty cash to the budget.
Assigning by Department or Team
For organizations with large or structured teams, assigning budgets to entire departments is highly efficient. When you choose a department as a spender:
Every employee in that department automatically gets access to the budget.
You avoid manually selecting 10, 20, or even 100+ individual users.
Any new employee added to that department later will also inherit the budget access automatically.
Flexible Assignment Options
In addition to individuals or departments, the platform supports broader targeting through:
Employee Groups (User Groups): Define custom teams across departments or projects.
Locations: Assign budgets to employees based in a specific city or region.
Tags (coming soon): Use custom labels to assign budgets based on role, use case, or priority level.
Why It Matters
This flexibility ensures your budgeting strategy scales as your company grows.
Whether you’re running an offsite, funding daily operations, or empowering a global team, you can assign and adjust access quickly, without compromising control.
